Privacy Policy

Last updated: 14 October 2026

This policy explains what information MyGymView (“we”, “us”) handles, why, and the choices you have. It covers our website and the MyGymView app used by gyms and their staff.

1. Two kinds of information

Information about gyms and their staff

When a gym signs up and adds staff, we hold account details such as the gym's name and contact details, and each staff member's name, email address, phone number and role. We use this to run your account, let staff sign in, provide support, and manage your subscription. For this information, we decide how it is used and we are responsible for it.

Information a gym keeps about its members

Gyms use MyGymView to keep records about their members and staff. Depending on what the gym enters, this can include names, phone numbers, email addresses, gender or access group (for example ladies-only timings), date of birth, fitness goals, emergency contacts, notes, photos and uploaded documents such as waivers or ID copies, as well as memberships, invoices, payments, attendance and check-ins, trainer assignments, leads, and staff salary and payslip records.

The gym is in control of this information. We store and process it only on the gym's behalf and on its instructions, to provide MyGymView. If you are a member of a gym that uses MyGymView and have a question about your information, please contact your gym first — we will help them with your request.

2. How we use information

  • to provide MyGymView and its features to the gym;
  • to keep the service secure, prevent misuse, and fix problems;
  • to give support when a gym asks for help;
  • to manage subscriptions and contact gym owners about their account;
  • to meet legal obligations.

We do not sell information, use members' information for advertising, or share one gym's information with another gym.

3. Who can see the information

  • The gym's own staff, according to the role the gym gives them. Each gym's data is kept separate, and staff can only see their own gym's records.
  • Our team, only where needed to run the service, manage subscriptions or help when a gym asks for support.
  • Service providers that run parts of MyGymView for us, under their own security and privacy commitments: Supabase (database, sign-in and file storage), Vercel (website and app hosting), and, only if a gym turns on WhatsApp messages, Meta (WhatsApp Business). These providers may store information on servers located outside Pakistan.
  • Authorities, only where the law requires it.

4. Messages to members

If a gym turns on WhatsApp reminders, MyGymView sends messages such as fee and renewal reminders to the phone numbers the gym has entered. The gym is responsible for having its members' agreement to receive these messages. Members can ask their gym to stop them.

5. Cookies and data on your device

  • Sign-in cookies keep you signed in. They are needed for the app to work.
  • Preferences, such as light or dark mode, are saved in your browser.
  • Offline check-in: on devices used for check-in, a limited copy of the member list (name, member code, phone, membership status and dues) is saved in the browser so check-in works without internet. It is cleared when the staff member signs out.

We don't use advertising cookies or sell browsing data.

6. Security

Information is sent over encrypted connections (HTTPS). Access is limited by role, and each gym's data is kept separate at the database level. Sensitive actions, such as payment changes and access overrides, are recorded in an audit log. No system is perfectly secure, so gyms should also protect their passwords and remove access for staff who leave.

7. How long we keep information

We keep a gym's information while its account exists — including while access is paused for an unpaid subscription — so that it can be restored. A gym can ask us to delete its account and data at any time; we will then delete it, except anything we must keep by law. Gyms can also edit or remove individual records in the app.

8. Your choices and rights

  • Gym owners can ask for a copy of their gym's data, or for it to be corrected or deleted.
  • Staff and members can ask their gym to see, correct or delete information about them.
  • Anyone can contact us with a privacy question or concern.

9. Children

MyGymView is used by gyms, not by children directly. If a gym records information about members under 18, it is responsible for having the permission of a parent or guardian where required.

10. Changes to this policy

We may update this policy as MyGymView changes. We'll update the date at the top and, for significant changes, let gym owners know in the app or by message.

11. Contact

For privacy questions or requests, contact us through the contact details on our website, mygymview.com. See also our Terms of Service.
